POSITION Administrative Assistant (Part Time)

LOCATION Bogotá, Colombia

BACKGROUND

Global Partnerships (GP) is an impact-first fund manager dedicated to expanding opportunity for people living in poverty. Impact-first investing means investing in a way that seeks the greatest possible social impact, while seeking to preserve capital with a modest financial return for investors. GP believes that impact-first investing has an essential role to play in advancing sustainable solutions to poverty for millions of people worldwide.

GP creates and manages impact-first investment funds that make loans and early-stage investments in social enterprises serving people living in poverty, primarily in Latin America and Africa. The GP team is comprised of mission-driven, dedicated, high-performing colleagues working primarily from offices in Seattle, Washington (USA), Bogotá, Colombia, and Nairobi, Kenya. ROLE AND RESPONSIBILITIES

The Administrative Assistant will provide critical administrative, tax and compliance support to Global Partnerships’ (GP) office in Bogotá, Colombia, and will be responsible for the day-to-day functioning of that office. The ideal candidate will be an experienced, proactive and independent administrator who assumes personal ownership on a day-to-day basis for the smooth running of the office and for keeping GP’s Colombian entity in good standing. They will exemplify GP’s commitment to mission, respect, collaboration and excellence.

The Administrative Assistant will be based in GP’s Bogotá office and will work closely with the Finance team in Seattle as well as the Bogota team and local third-party accountants. This is a part-time position, working approximately 24 hours a week. Hours are defined as in-office 8:00 a.m. – 5:00 p.m. Tuesday-Thursday, however this may be adjusted occasionally based on daily projects.

This role will be responsible for the following:

Colombia Administration, Tax and Compliance

  • Provide human resources administration support for the Colombia office
  • Monitor and coordinate compliance with new Colombian regulatory requirements, including support for the RIT implementation
  • Serve as the primary point of contact with third-party accountants, liaising among the Bogotá office, the Accounting and Administration team in Seattle, and NDR (accounting outsourcing)
  • Address any DIAN items and facilitate other government correspondence
  • Maintain the Colombia compliance calendar
  • Facilitate vendor payments (e.g., office lease, building management fees, utilities and internet)
  • Track expenses for the Bogotá office
  • Coordinate the annual transfer pricing publishing process and provide related support
  • Provide documentation to the statutory auditor
  • Ensure the timely payment of taxes (Retefuente, IVA, Reteica, Renta, etc.)
  • Maintain Colombia corporate and compliance records
  • Communicate with the Finance team in Seattle on a regular basis concerning all of the above.

Office Management

  • Oversee the day-to-day running of the Bogotá office
  • Coordinate building services, maintenance and cleaning
  • Manage the relationship among the Bogotá office, the lessor and the building management company
  • Purchase and maintain office and kitchen supplies
  • Manage the front desk, visitors, mail and couriers
  • Arrange internal meetings, office events and travel bookings
  • Coordinate office IT equipment and maintain the asset register
  • Support local health and safety (SG-SST) requirements at the office level
  • Administer local office vendors and service contracts

Other

  • Provide support for the Finance team in Seattle on similar tasks on an as-needed basis

Qualifications

  • Full professional proficiency (equivalent to native-level fluency) in Spanish is required. The position regularly serves as a primary point of contact for Spanish-speaking third parties and must be able to communicate effectively, accurately, and independently in Spanish.
  • Professional proficiency in English (speaking, reading, writing) is required. The position will regularly communicate with English-speaking colleagues, create reports and entries in English language systems, and prepare items for third parties in English. Must be able to communicate effectively, accurately, and independently in English.
  • 2 plus years of relevant professional experience providing administrative, human resources, and office management support in a professional environment preferred
  • Experience with Colombian labor, tax and regulatory requirements, including DIAN filings and statutory audit support, preferred
  • Experience working with remote global teams preferred
  • Proficiency in Microsoft Office tools, including strong Excel skills, required
  • Excellent academic track record; undergraduate degree required
  • Ability to reside and work legally in Colombia for Global Partnerships S.A.S. without visa sponsorship required
